If you are unsure, or not willing to nominate for a titled position have ‘shadow members’. This way you can be involved in meetings, have your say in the way things are run, and put your hand up to assist where possible.
Below are the positions responsibilities. Please keep in mind all positions will be supported, and the intention is that the committee will work as a team!
President – Andrea Worthington
This position is to overview the management and administrative operation of the club and to provide leadership and support to all its members. The image of our club is represented through the President and this role should aim for the highest levels of efficiency, together with sound ethical and moral standards.
- Represent the club at CBI Junior Committee meetings
- Attend and participate in all Timberwolves club events
- Attend and chair all Timberwolves Committee meetings
- Support and coordinate all Timberwolves Committee roles
- Ensure club policies, constitution and by-laws are respected and observed by everyone involved
- Be fair and reasonable and show consideration and understanding towards the feelings, hopes and expectations of all club members and supporters
- Ensure financial management procedures and budgeting remains on target and is achieved
- Regularly liaise with sub committees to ensure they receive assistance and support as and when it is needed.
- Ensure all sub committees are regularly reporting to the committee
- Liaise with relevant stakeholders
- Ensure committee members, team members and coaches fulfil their responsibilities to the club
- Ensure the key stakeholder relationships of the club are maintained and nurtured
Vice President – Tegan Mellon
In our case the Vice President will work closely with President and oversee the day to day running of the club, while also supporting the President’s role.
- Represent Timberwolves along with the President at CBI Junior committee meetings
- Support the President in their role managing and overseeing club operations
- Stand in where the President is unavailable
Secretary – Position Vacant
Reports directly to the Timberwolves Committee, this position works closely with the committee members to facilitate and manage administrative activities for the club.
- Liaising with CBI re: forms required
- Calling meetings/setting agenda/taking minutes, finalisation and distribution of minutes and ensuring meetings are quorate
- Calling AGM
- Completion of statutory lodgements
- Attend and participate in Timberwolves and CBI events where possible
- Management of vacancies on management committee
- There is no need for prior knowledge of sporting pulse, or statutory lodgements. It is all much easier than it sounds and you will be well supported
Treasurer – Donna Spencer
Reports directly to the Timberwolves Committee, this position works closely with the President and Vice President to manage the financial affairs of the club, is responsible for the protection of the club’s cash, assets and the volunteers who handle them, ensuring the collection of all revenues and payment of all financial obligations. This role must also ensure that financial transactions are recorded in the club’s accounts and produce the club’s financial reports for presentation to the committee and the members at the AGM, as well as complying with all financial reporting obligations.
- Setting and reviewing budgets
- Monitoring and reconciling bank account
- Making and authorising payments (2-person authorisation required)
- Monitoring signatories to account
- Creating invoices
- Following up payments
- Supporting events and fundraising team (floats, budgets, reimbursements etc)
- Preparation of accounts for statutory review
- Liaise with CBI
Registrar – Position Vacant
Reporting to the management committee, the registrar works closely with the committee to ensure accurate membership records.
- Responsible for the Timberwolves memberships for Junior, Life, Volunteer and Parent memberships
- Recommending to the management committee the termination or instatement of a member of the club
- Maintaining a record of memberships as outlined in the club constitution
- Working with the club Secretary where requests for access to the membership record occur
Communications coordinator – Position Vacant
Report directly to Timberwolves Committee. This position intends to grow and engage the Timberwolves community. This role will support and drive the achievement of many of the club’s goals and objectives and allow effective communication and visibility in a timely manner.
- Collate information and distribute regular updates
- Set up team distribution lists (sporting pulse)
- Manage club email
- Relay important information effectively and efficiently
- Manage and maintain website content
- Facilitate social media participation and engagement
- Manage club Facebook account
- Email is often the first point of contact for new players and members so organisation and time management are essential
Uniforms coordinator – Belinda O'Reilly
Reports directly to the Timberwolves Committee, this position works across all areas of the club to manage all uniform and equipment.
- Develop inventory and management system
- Distribute and collect uniforms and equipment (update inventory)
- Identify new uniform and equipment needs
- Estimate new purchases, may involve negotiating with suppliers
- Arrange for sales of kit to players
Fundraising/Events coordinator and team – Position Vacant
The fundraising and events team will generate events and identify sponsorship opportunities from local businesses that enables the future development, recognition and reward of players, team uniforms and apparel. It is our hope that we are able to build a subcommittee.
Coordinator
- Lead the events and fundraising committee
- Support the development of a sponsorship programme for local businesses
- Organise fundraising events, as well as non-fundraising club events
- Look for local businesses to sponsor uniforms and events
- Organisation and running of club events (presentations, season launches, sign on days)
- Attend, participate and report in Timberwolves Committee meetings
Age group coordinators
U10 coordinator – Shane Luki
U12 coordinator - Jarrod Coghlan
U14 coordinator – Jarrod Coghlan
U16/18 coordinators – Trenae Jia & Shell Schulze
Age group coordinators will work with coaches and managers to identify issues such as absence and injury and arrange cover where appropriate to ensure no forfeits occur. This is a highly visible position within the club and it is expected that the age group coordinators will represent the Timberwolves club with professionalism.
- Be the point of contact for families and coaches within your age group
- Assist in the selection of coaches, managers and players for each team within your age group
- Communicate with President and Vice President any issues that are relevant
- Attend and participate in committee meetings
